    The Systems Maintenance module of Campaign Craftware provides a variety of housekeeping functions to help you manage your system.

    System Maintenance Menu

    The functions on the System Maintenance menu are described in the following sections.

    1. Archive Databases
    2. It is good practice to archive (backup) your data regularly and frequently, so that if your hard disk drive fails and destroys your data, you’ll have lost only the changes you made since your last backup.

      We recommend that, in addition to your scheduled backups, you archive your database before generating Disclosure Statements. That way, if your data files are lost due to disk failure, or human error, you may easily go back to that point to regenerate reports.

      The Archive Databases function provides an easy way to make a condensed copy of your data on your hard drive or a floppy disk, and to restore a backed up database from a floppy disk.

      When you select "Archive Databases" from the System Maintenance menu, a screen is displayed asking whether you wish to backup "B" or restore "R" databases:

      Type "B" or "R" to indicate your choice, and the following screen displays:

      You may select a drive other than the default drive shown in the "Drive" box. To see a list of drives available, click and hold the mouse button on the drive letter (or press TAB then ENTER). Usually drives A and B are floppy disk drives, and drives C and greater are hard disk drives.

      NOTE: Your data is more secure if you backup to a floppy disk, as opposed to another directory on the hard disk.

      The path currently selected is shown near the top of the screen. To change the directory, position the mouse indicator on the directory field, then click and hold the left mouse button (or press TAB until the directory field is highlighted, then press ENTER).

      To back out to a higher level of the directory tree, use the mouse (or keystrokes) to highlight [..] in the vertical box. Refer to the currently selected path as shown at the top of the screen to verify your choice.

      To choose the account, click on it with the mouse (or press TAB until the correct account in the vertical box is highlighted).

      Click on Select (or press TAB to highlight Select, then press ENTER) to begin the process.

    3. Regenerate Index Files

      Sometimes, for example after a system power outage or other unexpected shutdown, the database index files will get out of sequence with the main files. In that case, the index files must be regenerated.

      Select Regenerate Index Files and press enter.

    5. Pack Databases
    6. System Maintenance Menu

      When you delete a record from the database, Campaign Craftware does not actually erase or remove the record. Instead it marks it as deleted. From time to time, if you have deleted many records, it is a good idea to permanently remove them by packing the database. Select "Pack Database" from the System Maintenance menu and press ENTER to pack.

      NOTE: Users of the network version of Craftware may only pack the database when there is just one user logged in.

    7. Verify Database Integrity

      Use the "Verify Database Integrity" function to check for incomplete data when you have reason to believe there may be erroneous records in your database. We recommend you use this function with the help of a Statecraft technical support person. The following message is displayed when verification is complete:

    9. Manage Contributors/Vendors

Names entered through the Contributions module are tagged as contributors and appear only on the Contributor Pick List. Conversely, names that are entered through the Expenditures module are tagged as vendors and appear only on the Vendor Pick List. There are instances where a contributor may also become a vendor and vice versa.

For example, a contributor also becomes a vendor if: he/she has:

A vendor may become a contributor by donating in-kind goods or services.

Do not enter these individuals/entities a second time. Use the "Manage Contributors/Vendors" function to change/add the attribute.

Select Manage Contributors/Vendors from the System Maintenance menu, and a consolidated pick list of all of the contributor and vendor names is displayed:

Select the one you wish to reclassify and the following screen is presented:

If an entity is currently a contributor, but not a vendor, the screen will show a "Y" for Contributor and an "N" for Vendor. You may change any N to Y, but do not change Y’s to N’s.

In the above example, by changing Vendor to Y, Ali Baba would now also appear on the vendor pick list.

NOTE: Never change a "Y" to an "N", or your administrative reports and disclosure statements will be inaccurate and/or transactions will be printed with no contributor or vendor name.

    1. Delete Records
    2. Deletions are now accomplished at data entry modules for each category of receipt or disbursement. Type an <F1> for Help to assist you in navigating to the appropriate screen. Press any key.

    3. Candidate & Committee Information

Select "Candidate & Committee Information" from the System Maintenance menu to:

The following menu is displayed:

      1. Edit Candidate Information
      2. To edit information about the candidate, select the "[Candidate] Specific Data" option. The candidate/officeholder data entry screen (discussed in Section 2.4.1.1) will be displayed.

      3. Edit Committee Information
      4. To edit committee information, select "Edit Current Committee(s)" and the data entry screen discussed in Section 2.4.1.2 is displayed.

      5. Recall Terminated Committee
      6. When you terminate a committee in Craftware, it is not deleted, just removed from the list of active committees.

        To recall a terminated committee, select the committee to be recalled from that part of the candidate & committee information menu. The following screen displays so you can confirm the committee you wish to recall:

        This option is displayed only if you have terminated one or more committees.

      7. Add a New Committee
      8. See Section 2.4 for details on adding a committee.

      9. Terminate a Committee

When you terminate a committee in Craftware, it is not deleted, just removed from the list of active committees.

When you select "Terminate a Committee", a list of active committees is displayed:

Select the committee to be terminated and the following displays:

Enter the effective date of the termination and press CTRL-W to proceed.

    1. System Configuration

Select "System Configuration" to make changes to your default printer, default mailmerge directory and file name, and default FAX directory. See Section 2.5 for details.
